In Booklink, a "user" is a login account and a "team member" is a person who appears in the booking system (the person clients can book with). These are separate records. To give a staff member a login that shows only their own bookings and earnings, link their user account to their team member profile and scope their Calendar and Finances permissions to "Own".
Why linking matters
Permissions scoped to Own mean "only the work of the team member this user is linked to". Without a link, Booklink does not know which team member the user is, so an Own-scoped user would see nothing. The permission editor warns you when this happens.
Users with All scope (like the Owner and Front desk templates) do not need a link to see the whole business, though you can still link them so the Today page greets them by name and they can re-scope views to themselves.
How to link a user to a team member
- 1
Open the user
Go to Users in the sidebar and click the user you want to link.
- 2
Select the team member
In the edit dialog, find the Linked team member field. Click the dropdown and select the team member profile this user should be linked to. - 3
Save the change
Click Save. The link is applied immediately. Next time this user logs in, their Own-scoped areas show their own bookings and schedule.
Unlinking
To remove the link, open the user's edit dialog and set the Linked team member field to None, then save. The user keeps their permissions, but any area scoped to "Own" will show nothing until you link them again or change the scope.
A shortcut from the Team page
You can also create a linked login directly from a team member's profile: open the member under Team & hours and use their Login section. The login is created with the Staff template and the link already in place.
