Coupon codes

Create discount codes clients enter when they book: percent or fixed amounts, limits on uses, dates and minimum spend, and how coupons show on bookings.

Coupons are codes like WINTER20 that clients type in when they book on your booking page. Each code takes a percentage or a fixed amount off, and you decide which offerings it works on, how many times it can be used and when. Coupons are a Pro feature.

Creating a coupon

    Open Coupons

    Go to Manage, then Coupons, and click Create coupon.

    Choose the code and discount

    Enter the code clients will type (letters, numbers, dashes and underscores; capitals do not matter). Pick Percentage or Fixed amount and enter the value. A percent coupon can have a maximum discount, for example 20% off up to R200.

    Choose what it applies to

    Leave All services on, or switch it off and pick the offerings the code works on.

    Set limits and save

    Optionally set a total number of uses, uses per client, a minimum spend and the dates the code is valid. Then save.

Limits

  • Total uses: how many bookings can use the code in total. Leave it unlimited to never run out.
  • Uses per client: how many times one client can use it, matched on their email address. Set it to 1 for a first visit offer.
  • Minimum spend: the booking must cost at least this much, counting only the offerings the code applies to.
  • Valid from and until: the code only works between these dates. Leave them empty to start now and never end.

Coupons and sales

If an offering is already on sale, a coupon does not apply to it unless you switch on Can be combined with sales. When it is on, the coupon comes off the sale price.

A fixed amount coupon comes off the whole booking once, not once per offering. When a booking has several offerings, Booklink splits the discount across them in proportion to their prices.

What clients see

When you have at least one active coupon, your booking page shows a Have a coupon code? link at checkout. Clients enter the code and see the discount on each offering and on the total before they book. Deposits stay the same unless the new price is lower than the deposit.

Coupons work on regular bookings made from your booking page. They do not apply to group class seats, programs or bookings paid with a session package.

Seeing coupons on bookings

Bookings made with a coupon show a small tag icon in your bookings list. Open the booking to see a Coupon row with the code and the amount taken off, and the original price crossed out. Click the code to open the coupon. The coupon page lists every booking that used it.

The coupon also shows on the booking emails: the client's confirmation and payment reminder, and your new booking email. If Rebill sends invoices for your bookings, each discounted line shows the original price with the coupon as a discount, and the code in its name.

The monthly report has a Coupons card with how much each code took off and how many bookings used it. The daily and team member reports show the coupon on each booking.

The booking keeps the code and discount it was made with, so editing or deleting the coupon later never changes past bookings.

Cancelled and unpaid bookings

If a booking that used a coupon is cancelled before it was paid, or is cancelled automatically because payment never came in, the use is released and someone else can use the code. The booking shows Use released (booking not paid). Paid bookings keep their use, even if they are cancelled later.

Pausing and deleting

Switch Active off on the coupon to pause it. Clients get a message that the code is not valid until you switch it back on. Deleting a coupon stops it working and frees the code so you can use it again on a new coupon. Nothing is lost: bookings that used it keep their discount, and switching on Show deleted on the Coupons page brings the coupon back into view, read-only, with its redemption history.

Track where clients came from

Give each campaign its own code, for example IG20 for Instagram and NEWS20 for your newsletter. The coupon page shows how many bookings each one brought in.
